EU Business School is a private business school founded in 1973 and joined Omnes Education Group in 2022. The school has 3 campuses in Europe, in Geneva, Barcelona and Munich, as well as 1 digital campus, with a total of over 3,000 students per semester.

Initial situation: a complex accounting structure in three countries with different accounting tools

Initially, EU Business School had an accounting solution for each finance department located on each of its campuses. In 2021, the school began its standardisation work by integrating Sage X3 for all campuses. In 2022, the company will continue to digitise and EU Business School will be looking at the implementation of a solution for dematerialising incoming invoices.

Yooz is easy to set up and tailored to each country

As Yooz is available in French, English and Spanish, training courses have been offered in each of these three languages to EU Business School campuses.

Following this training, it was very easy for both users and suppliers to get to grips with the solution for sending invoices.

Yooz was interfaced with Sage X3 to automate the entire process and adapt to EU Business School's changing requirements.

To ensure that using Yooz went as smoothly as possible, EU Business School informed all its suppliers and created 4 specific email addresses so that each campus could receive and capture its own invoices.

Once the invoices have been captured, processed and validated in Yooz (see diagram above), they are automatically sent to the Sage X3 ERP system for information processing, posting and payment.

Invoice traceability: no more lost invoices, you can find out where the invoice is in real time.

Archiving: documents can be stored. YoozProtect is currently being implemented.
No manual errors: less risk of input errors thanks to the OCR reader.
Multilingual tool: Yooz is available in French, English and Spanish.

"We now take half a day to validate invoices and around 3 days for the entire validation process," explains M. de Oliveira.

QR Invoice compliance issues in Switzerland

Since September 2022, Swiss payment slips have been definitively replaced by QR invoices and can no longer be used.

Yooz has adapted by adding a specific field for Switzerland, enabling EU SA to process this new invoice format for its entity in Geneva.
